Why spreadsheets are one of the hardest things to print correctly
A Word document has a fixed page width and flows text around it. Excel doesn't. Your spreadsheet can be 3 columns wide or 40 columns wide, and nothing in the file format forces it to care about paper size. That's the whole reason "print to PDF" from Excel has frustrated people for 20 years — you click print, the columns slice off at the right margin, and you get a PDF that's half a table. The fit-to-page option here solves exactly that by scaling the output down so all columns land on the page.
What gets preserved and what doesn't
Cell background colors, bold and italic text, merged cells, number formatting (currency symbols, decimal places, date formats), and conditional formatting rules that affect cell appearance all carry through. Embedded charts render as static images in the PDF. Formulas are shown as their computed values — not as formula text. Hidden rows, hidden columns, and hidden sheets are excluded from the output automatically, so a sheet you've marked hidden in Excel won't show up in the PDF even if you forget about it.
| Layout option | When to use it |
|---|---|
| Portrait, actual size | Narrow sheets, 6 columns or fewer — they already fit on A4/Letter |
| Landscape | Medium-width sheets where rotating the page is enough |
| Fit all columns on one page | Wide sheets that would otherwise clip — scales down to fit |
| A3 page size | Large financial models where scaling down makes text too small to read |
